From the 9th August 2021, the Kenya Embassy Rome will be receiving passport applications for the issuance of the East African Community (EAC) e-Passport (biometric passport).
APPLICATION FOR E-PASSPORT
Apply for the e-Passport on https://dis.ecitizen.go.ke/ and pay for it online via mobile money, credit cards, debit cards or online banking. One will be required to fill in the form online, print it, sign and date it, then attach all other requisite documents and photographs. The application forms MUST be submitted in person at the Kenya Embassy Rome through an Appointment.
GENERAL INFORMATION
- One must create an account on the eCitizen portal to access the passport application service
- ALL Passport applications MUST be duly completed online via https://dis.ecitizen.go.ke/ portal. Manual applications will NOT be accepted.
- Please ensure you have read and understood the guidelines and Requirements before submitting your application.
- All applicants are advised to apply for a passport replacement at least six months before its expiry date.
- Dual Citizens are required to declare their other nationality prior to renewing Kenya passports. These include persons born before 27th August 1987 and for those who acquired other citizenship status before 27th August 2010 need to show proof of having regained Kenya citizenship.
- Those required to apply to regain Kenya citizenship are expected to await completion of the regaining process before they can apply for their e-passports.

NOTES FOR PHOTOGRAPHS
Kindly ensure that photos attached on the application form meet the following criteria:
▪ Be clear photos – they should not be blurred nor have a dark hue, all facial features should be clearly outlined
▪ Have a full face and both ears visible
▪ Be taken against a WHITE background
▪ Be without shadows in the background
▪ No smiling or laughing
▪ Be taken without spectacles
▪ Size of the photos should be 35 mm x 45 mm (3.5 cm x 4.5 cm)
▪ Weaves and hair should not cover the forehead or the rest of the face
▪ Decent photos – ladies should not be wearing strapless tops and earrings.
▪ Ensure the photos are printed on good quality paper in a studio. (photos from the Instant Photo machine will not be accepted)
TIME FRAME
Once you submit your duly completed application to an Immigration Officer, the passport processing should take at least between 4-6 weeks. Please note that if your application has not been duly filled and all attachments required submitted, it may delay processing of your passport.

REPLACEMENT OF AN EXPIRED/FILLED UP PASSPORT
Requirements:
- Duly filled eCitizen passport application Form 19. (Printed)
- 2 copies of eCitizen payment invoices
- Original Kenyan passport and copy of the biodata page (expired/filled up)
- Original National Identity Card (new generation) and one copy (front and back) for applicants over 18 Years Old
- Copy of Kenyan birth certificate
- Original and copy of valid Foreign Residence Permit/Passport/Visa and/ OR
- Proof of either having regained Kenya citizenship and or Declared the other citizenship for Dual Citizens.
- 4 coloured current passport size photos. (see notes on photos above)
- Duly filled Parental Consent Form for minors
- And any other additional document as maybe required
- To book an appointment to submit the application send an email indicating your name and Kenya ID number to consular@embassyofkenya.it
NOTE: On appointment day, the applicant MUST appear in person with the completed application form and all the required original and copies of supporting documents.

REPLACEMENT OF A LOST PASSPORT
Requirements: –
- Duly filled eCitizen passport application Form 19. (Printed)
- 2 copies of eCitizen payment invoices.
- Declaration for lost/damaged passport form (click to download form)
- Police abstract
- Translation fee of €30 if the Police abstract is not in English language. For Payment Click here
- Personal Statement/ detailed self-explanatory letter explaining circumstances for the loss
- A notarized affidavit to support (6) above
- Translation fee of €30 if the notarized affidavit is not in English language. For Payment Click here
- Original National ID card (new generation) and one copy (front and back) for applicants over 18 Years Old.
- Copy of Kenyan birth certificate
- Copy of lost passport biodata page if available.
- 4 coloured current passport size photos. (see notes on photos above)
- Duly filled Parental Consent Form for minors
- Original and copy of valid Foreign Residence Permit/Passport/Visa and / OR
- Proof of either having regained Kenya citizenship and or Declared the other citizenship for Dual Citizens.

NEW (FIRST TIME) PASSPORT APPLICATIONS
Requirements: –
- Duly filled eCitizen passport application Form 19. (printed)
- 2 copies of eCitizen payment invoices.
- Original and copy of Kenyan Birth Certificate for citizens of Kenya by birth. A copy of the Foreign Birth certificate is to be submitted as well (for Kenya citizens born abroad)

- Original and a copy of National Identity Card (front and back) for applicants over 18 Years Old

Change of Name in Passport
Kenyans who require to change name in the passport as a result of marriage, divorce, changed religious beliefs or deed poll should apply for a new passport.
Requirements for Change of Name in Passport as a result of marriage/Divorce
- A duly filled eCitizen application Form 19 and 2 payment invoices. (printed)
- Original and copy of Kenyan marriage certificate/ proof of divorce (Decree Absolute) DULY authenticated by the Ministry of Foreign Affairs. (if foreign issued, to be duly authenticated at the respective Ministry of Foreign Affairs).
- Original and a copy of applicant’s Kenyan national identity card (with the effected Name Change)
- Copy of Kenyan birth certificate
- Original and copy of the current Kenyan Passport
- Sworn Affidavit authenticated by the Ministry of Foreign Affairs
- Copy of husband’s Kenyan ID and / or Passport (In the case of name change as a result of marriage) OR
- Where the husband is non-Kenyan, a copy of the passport as proof of nationality (In the case of name change as a result of marriage)
- Present written explanation addressed to the Ambassador/Permanent Representative requesting for change of name
- And any other additional document as maybe required
Requirements for Change of Name in Passport as a result of Other Reasons
- A duly filled eCitizen application Form 19 and 2 payment invoices. (printed)
- Original and a copy of applicant’s Kenyan national identity card for adults (with the effected Name Change)
- Copy of Kenyan birth certificate
- Original and copy of the current Kenyan Passport
- Religious certificate or card (change of name due to changed religious beliefs).
- Sworn Affidavit authenticated by the Ministry of Foreign Affairs.
- Deed Poll (document prepared and registered at the Registrar of documents in the Ministry of Lands, Nairobi). (where applicable)
- Copy of Kenya Gazette Notice effecting name change. (where applicable)
- Duly filled Consent Form for minors
- Present written explanation addressed to the Ambassador/Permanent Representative requesting for change of name
- And any other additional document as maybe required
